A little clarity. A little calm.

How do we give the day room to breathe?

Allow for people, belongings and moving between places, as well as the moments themselves.

Test the running order with a few simple calculations

Allow for gathering people, moving, preparation and a buffer around the activity itself. Recording only photography time or driving time makes clashes easy to miss.

The numbers below demonstrate a method, not the speed of any particular team or route. Ask the relevant people to substitute timings for your guest numbers, places and plans.

Worked timing checks: replace the assumptions with your own
SituationIllustrative calculationWho to check withAn easily missed step
Eight photo groups2 minutes per group gives 16 minutes; add 10 minutes to gather people and 5 to move into position: 31 minutes in total.Camera team and a helper who knows the guestsList names in each group and allow for relatives who need time to walk or sit.
Transfer between two venues35 minutes driving, 10 boarding, 10 to get out and walk in, plus a 15-minute buffer: 70 minutes in total.Transport team and both venuesPeople and belongings may travel separately; check when every necessary item arrives.
A speech and a film5-minute speech, 4-minute film and 3 minutes for walking on and off stage and the playback transition: 12 minutes, with a buffer to add separately.Speaker, MC and AV operatorTest the film in advance; microphone handovers and applause also take time.

If the entrance is ten minutes late, decide what can move

Suppose the couple are ready ten minutes later than planned. First check the effect on food service, ceremony timings and supplier finish times, then have the authorised lead decide. If you agreed beforehand that an optional game could lose five minutes and have five unused buffer minutes, those two adjustments could cover the delay. Tell catering, cameras, AV and the MC, rather than changing only the document.

This example will not fit every delay. If a change is not already agreed, incurs a cost or affects something essential, check with the person authorised to decide. Do not automatically shorten statutory ceremony steps, remove meals and rest or ask transport teams to rush.

Check for simultaneous demands before issuing the final version

  • Are the couple changing outfits when they are also scheduled for photographs?
  • While the MC is speaking on stage, who checks that the next activity is ready?
  • If a helper is accompanying older relatives, who hands over that helper’s items?
  • Does anything still need a supplier after their service has finished?

Resolve clashes in the filled example and blank worksheet. For weather or equipment changes, work through the backup-plan checklist too.

Begin with the times that are hardest to move: venue access, the ceremony, food service and when each team finishes. Add make-up, outfit changes, travel, photographs and rehearsals. Allow time for people and belongings to move, and ask the relevant teams to check that the plan is realistic.

Group photographs are easier when the groups are agreed beforehand and someone who knows the guests can gather them. Check the length of speeches and films too. Alongside each time, note the location, person responsible, items needed and starting cue. Meals, water and a short rest deserve a place in the schedule as well.

For outdoor plans, agree a weather alternative, who decides to use it and how everyone will be told. Give the team the same dated version of the final running order, with changes shared through a designated contact.

One small place to begin

Check each part of the day against five headings: time, place, person responsible, items needed and cue.

These notes offer general planning guidance. Adapt them to your wedding, your family and the arrangements you agree with each team. Confirm what each service includes before booking.
