A little clarity. A little calm.

Wedding cars: a thoughtful plan for every journey

Make room for dresses, luggage, waiting and the people travelling with you.

← The Wedding Notebook

A wedding car carries you towards the next moment you have been looking forward to. Alongside its appearance, picture getting in and out: the space a dress needs, whether a relative can board comfortably, and where passengers and bags will go. Tell the provider about these practical needs before deciding from photographs alone.

List each journey's pick-up and drop-off addresses, exact entrances, passengers, luggage and required arrival time. Confirm access and stopping arrangements with hotels, residential buildings and venues. Allow for lifts, walking to the car, boarding and traffic. A map's driving estimate does not cover the whole transfer.

Ask for written details of the agreed vehicle or substitution arrangement, capacity, driver, hours, minimum hire, waiting and overtime, plus parking, tunnel and other charges. Ask the provider to confirm the licensing and insurance required for the vehicle and service offered. If a separate decoration team dresses the car, agree installation time, fixing methods and removal, without compromising visibility or safety.

Confirm the driver and backup contacts, the plan for a late or unavailable vehicle, and who gathers passengers. Harry can help find and coordinate wedding cars, checking the transport details with the provider against your day's route. Any guest coach or additional transport also needs a clear meeting point and final boarding time. May each journey give you a moment to sit together and look forward to what comes next.

One journey card for every transfer

Copy these fields for the transport lead to check, then give the confirmed version to the driver and passenger-gathering helper. Make a separate card for each journey, with the actual entrance as well as the venue name.

  • Pick-up: exact entrance or meeting point, gathering time and departure time: ________________
  • Passengers: people, luggage, space for outfits and any boarding assistance to confirm with the provider: ________________
  • Arrival: destination entrance, required arrival time and person meeting the passengers: ________________
  • Delay: driver and transport lead contacts; who updates the MC and venue about the start time: ________________

Vehicles and driving are supplied by the transport provider. Check each journey against the transfer buffers in your running order, including the final handover of belongings.

One small place to begin

Put entrances, passengers, luggage, arrival times and contacts on one journey list, then ask the provider to confirm capacity and timing.

These notes offer general planning guidance. Adapt them to your wedding, your family and the arrangements you agree with each team. Confirm what each service includes before booking.
